Hiring the right venue for your event

4th May 2018 Print

There can be lots of different reasons why you would want to hire a venue. It could be for your wedding, for a conference, for a family birthday celebration or maybe it is for an awards ceremony or a team building exercise. Hiring the right venue for your event can help to make it really good, or if you have chosen wrongly, it could be why your event is not the success you hoped for.

Things to Consider When Hiring a Venue

One thing that must always be taken into account is the location. You want somewhere that is easy for your guests, colleagues or visitors to access or they will be put off attending before the event even starts. For instance, a central London conference venue will have transport benefits that will ensure no one has difficulty reaching it.

The size of the venue is probably the next most important thing to consider. You need to know you will have enough room for everyone attending, so a venue with a choice of room sizes could be ideal. Your event may only have 50 people, or it may have over 500.  Find a venue in the right location with a choice of room sizes and you are halfway to having the best place for your event.

Catering is the next issue to tackle. Whether you want to provide snacks or a five-course meal, it is so much easier if the venue can organise this for you. Giving you a choice of menus so that you can have traditional fare or more contemporary food would be ideal, and of course, you want it all prepared freshly at the time of your event.

Finally, you need to know that the venue you have chosen to hire will have the facilities your guests might need. Cloakrooms with attendants are the ideal as well as staff that are friendly and helpful in all areas of the venue and your event.

Do You Need Entertainment for Your Event?

Not all events need entertainment. Meetings and conferences do not usually require it, but if it is your wedding or birthday party, then you probably will want someone to entertain your guests. Do you want live music, a DJ and perhaps a table magician to wow the guests while they eat? Do you want a dance floor or will the entertainment be in the form of a cabaret? Perhaps you are hiring the venue for a fashion show and want some background music or are having an awards ceremony and would like a fanfare or two.

Whatever entertainment you want, you need to know that the venue can facilitate it, and that they will do all they can to make sure the entertainers have the access they need before your event starts.

Technology At Events

Technology is affecting all areas of our lives, and events are no exception when you hire the facilities of a venue with intelligent lighting, free Wi-Fi for all your guests and visitors, holographic 3D projection if it is needed, and virtual reality.

If virtual reality will help to enhance your conference, meeting or any other event, a venue that has partners in the tech industry could really be a boon. Although most of us know what these latest technologies are, actually putting them into operation is a different matter. That is a job for the professionals if you want the best technological experience for your guests.

Venues for Product Launches and Marketing

Every business needs to be marketed if it is to succeed. It does not matter how good your product is if no one knows about it, failure is guaranteed. Having an exhibition of your products, in surroundings that are welcoming and that can cope with many people passing through, is not always the easiest of venues to find. You could showcase your wares in a room on a backstreet somewhere, but we come back to the same problem of location. If you want to encourage people to visit your exhibition, then it needs to be easy to get to or they will not bother.

If the venue itself looks good, your products will look even better than they already do, and that can help you make more sales.

Hiring The Right Venue Is Vital

It does not matter what type of event you are intending to hold, hiring the right venue is vital for its success. You want somewhere you know everything will run smoothly because the venue will help you to make sure it does, and not just leave you to your own devices, unless that is what you want. Your visitors and guests will remember a good event for a long time, but if something goes wrong it will not just be remembered, it will be talked about and the details passed on to people who were not even there.
