Job Description
We are seeking a high energy, results-oriented Office Coordinator for our new office. This
position will help facilitate operational success by providing a wide range of services in a fastpaced,
multi-tasking work environment. The Office Coordinator will be the first point of contact for
all visitors and clients. In short, we need a person to ensure our daily office operations run
effectively and efficiently. If you have a strong attention to detail, the ability to tackle competing

What you’ll be doing…
 Greet and respond to visitors in a courteous and professional manner
 Answer all incoming phone calls and direct inquiries to the appropriate person
 Issue and maintain photo ID and access cards as well as keep an inventory list for all
photos
 Assist with mail duties including shipping, receiving, sending, sorting and distributing
packages
 Pick up mail at post office when needed
 Assist with building management issues and respond to vendors in a professional
manner
 Create and deliver correspondence to vendors
 Draft office documents and correspondence
 Maintain the employee directory on the company intranet
 Order office material and maintain inventory
 Maintain kitchen and office appearance
 Assist with employee events
 Assist with travel planning and purchasing
 Schedule meetings and write and distribute meeting minutes
 Monitor vacation and sick days for the team (liaising with Payroll)
 Perform other administrative duties and projects as required
The Ideal Candidate…
 2 -3 years of office administration/reception experience
 Post-secondary education or related training and equivalent experience an asset
 Ability to adapt and provide support in a fast-paced, customer-focused environment
 Excellent written and verbal communication skills
 Advanced knowledge of Microsoft applications
 Self-motivated, resourceful and able to work with minimal supervision
 Flexible and team-oriented
 Internet aware, able to perform online research and update simple intranet sites
 Ability to work under pressure, handle multiple tasks and meet tight deadlines
 Hard worker and a proactive problem solver
 Professional with a friendly and positive disposition
 Excellent organisational skills
 Strong multi-tasking abilities
 High attention to detail
